Print is unforgiving in a way that screens are not. A website can be edited after it goes live; a run of ten thousand brochures cannot. Once ink hits paper, every millimetre and every colour value is locked in. That is why print production has its own vocabulary and its own rules, and why a file that looks perfect on your monitor can still be rejected before it ever reaches the press. Understanding the fundamentals below will save you time, money, and the frustration of reprints.

Bleed, trim and safe margins: the three lines that matter

Almost every rejected file has a bleed problem hiding somewhere in it. To understand why, picture how printing actually works. Your design is not printed on a sheet cut to its exact final size. Instead, it is printed on a larger sheet and then trimmed down with a mechanical guillotine or die. That trimming process is accurate, but it is never perfect to the pixel. Blades shift by fractions of a millimetre, paper stretches, and stacks of sheets move slightly as they are cut.

To account for this, printers work with three conceptual lines on every layout:

  • The trim line is the final size of your finished piece, for example 210 x 297mm for an A4 flyer. This is where the blade is supposed to cut.
  • The bleed line sits outside the trim, usually 3mm further out on every side (some jobs, such as large-format or packaging, call for 5mm or more). Any colour, image or background that is meant to reach the very edge of the page must be extended all the way out to this bleed line.
  • The safe margin, sometimes called the safety or quiet zone, sits inside the trim, typically 3mm to 5mm in from the edge. Anything you cannot afford to lose, such as text, logos, page numbers and important faces, should stay inside this line.

Here is why bleed exists. If your background colour stops exactly at the trim line and the blade cuts even half a millimetre outside that line, you get an ugly sliver of unprinted white paper along the edge. By extending the artwork 3mm past the trim, that slight movement simply cuts into your design instead of revealing the paper. The safe margin protects you from the opposite error: if the blade cuts slightly inside the trim, you do not want it slicing through your headline or clipping your logo.

The most common mistake non-designers make is building a document at exactly the trim size with no bleed at all, then wondering why the printer asks for a new file. The second most common mistake is placing text right up against the edge, well inside the danger zone. Both are easy to avoid once you know the three lines are there.

CMYK vs RGB: why your screen lies about colour

Screens create colour by emitting light. They mix red, green and blue (RGB) to build every shade you see, and because they add light, they can produce brilliant, glowing colours, deep blacks and vivid neons. Printing works in the opposite way. Presses lay down ink that absorbs and reflects light, and they build colour by combining four inks: cyan, magenta, yellow and black, abbreviated as CMYK (the K stands for “key”, the black plate).

Because these are two fundamentally different ways of making colour, they do not cover the same range. RGB can display many colours that CMYK inks simply cannot reproduce, particularly bright oranges, intense greens, electric blues and fluorescent tones. This range of reproducible colour is called the gamut. When a vivid RGB colour falls outside the CMYK gamut, the press has to substitute the closest ink mix it can manage, which is often noticeably duller. That electric blue on your monitor can arrive as a flat, muddy navy on paper.

The practical rule is straightforward: design in CMYK from the start whenever the final destination is print. If you build everything in RGB and convert at the last minute, colours can shift in ways you did not choose and did not preview. By working in CMYK, what you see on a properly calibrated screen is much closer to what you get. If a particular colour is critical to your brand and sits outside the CMYK gamut, that is exactly the situation a spot colour or Pantone ink is designed to solve, which we cover below.

One more colour trap worth naming is rich black versus plain black. A single-channel black (100% K) can look weak and greyish across large areas. For solid black backgrounds, printers often prefer a rich black built from a mix such as 60% cyan, 40% magenta, 40% yellow and 100% black, which produces a deeper, more luxurious result. For small body text, though, plain 100% K is correct because it keeps the text sharp and avoids registration problems where the four plates fail to line up perfectly.

Resolution and DPI: sharp images, not pixel soup

Resolution measures how much image detail is packed into a given physical size, expressed as DPI (dots per inch) or the closely related PPI (pixels per inch). The industry standard for print is 300 DPI at the final printed size. At that density, individual dots are too small for the eye to resolve, so photographs and detailed graphics look crisp and continuous.

The phrase “at final size” is the part people miss. An image that is 300 DPI when it is 5cm wide becomes only 150 DPI if you stretch it to 10cm wide, because the same fixed number of pixels is now spread across twice the distance. Enlarging a small image does not add detail; it just makes the existing pixels bigger, which shows up as softness, jagged edges or a blocky, pixelated look. You cannot manufacture detail that was never captured.

This is why images pulled from a website are almost always unsuitable for print. Web images are typically saved at 72 DPI to keep file sizes small and pages fast, which looks fine on a screen but falls apart on paper. Always source high-resolution originals: photography shot at full resolution, or vector graphics where resolution is not even a concern.

Vectors deserve a special mention. Logos, icons, line art and type built as vector artwork are defined by mathematical curves rather than a fixed grid of pixels, so they stay perfectly sharp at any size, from a business card to a billboard. Whenever you have the choice, use vector files for logos and illustrations, and reserve high-resolution raster images for photographs. For very large-format work such as banners and vehicle wraps, the required DPI is often lower, sometimes 100 to 150 DPI, because the piece is viewed from a distance, but the principle of measuring resolution at final size still holds.

Colour profiles and Pantone: getting predictable results

Telling a printer to use “CMYK” is only half the instruction, because CMYK behaves differently on different papers and presses. A colour profile, or ICC profile, is a standardised description of how a specific printing condition reproduces colour. Embedding the correct profile in your file tells the press exactly how to interpret your colour values so the result is predictable rather than a surprise.

You do not need to memorise profiles, but a couple of names come up constantly. In North America, GRACoL and the older US Web Coated (SWOP) profiles are common for commercial and publication printing. In Europe and much of the rest of the world, FOGRA profiles such as those in the Coated FOGRA39 or FOGRA51 families are the default. When in doubt, ask your print partner which profile they want and set your document to match before you export.

Pantone, formally the Pantone Matching System (PMS), is a different tool for a different job. Instead of building a colour from four process inks, a Pantone spot colour is a specific pre-mixed ink with a fixed recipe and a unique number, such as Pantone 185 C. Because it is mixed to an exact standard, it delivers absolute consistency: the same red on your letterhead, your packaging and your signage, run months apart at different suppliers. Spot colours are also the way to hit brand colours that fall outside the CMYK gamut, and they enable special finishes such as metallics and fluorescents that process inks cannot reproduce.

The trade-off is cost. Each spot colour is an additional ink on the press, which adds to setup and running charges, so many everyday jobs stick to four-colour process. A common professional approach is to define brand colours as Pantone references and then use the appropriate CMYK or profile conversion when a job is printed in process only, keeping the brand consistent across both routes. If precise colour matters to your brand, this is a conversation worth having with your production partner before the design is finalised.

File formats: why PDF/X wins

You can design in many applications, but you should almost always deliver in one format: PDF, and more specifically a print-oriented variant called PDF/X. A native working file, such as an InDesign or Illustrator document, depends on links to external images and on the fonts installed on your machine. Send that file to someone else and the images can go missing and the fonts can substitute, silently changing your layout. A properly exported PDF/X packages everything, artwork, images, fonts and colour information, into a single self-contained file that reproduces reliably anywhere.

PDF/X is a family of ISO standards designed specifically for graphic arts exchange. Two versions dominate. PDF/X-1a flattens transparency and requires all colour to be CMYK or spot, which makes it extremely predictable and a safe default for straightforward jobs. PDF/X-4 is more modern: it supports live transparency and colour management, which is useful for designs with soft shadows, blend effects and richer colour workflows. Ask your printer which they prefer; many accept both.

Whichever you use, a correct PDF/X export handles several things automatically that trip people up when they hand over other formats: it embeds fonts, includes your bleed and trim information as proper marks, tags the intended colour profile, and preserves any spot colours. Avoid sending JPEGs, PNGs, screenshots or files exported straight from office software such as word processors and slide decks, because these rarely contain bleed, are often RGB, and frequently compress images to a quality that will not survive print. A clean PDF/X removes the guesswork on the printer’s side, which is exactly what keeps your job out of the rejection pile.

Fonts and outlining: don’t let type substitute

Type is one of the quietest ways a print file goes wrong. If the fonts you used are not available on the system that opens your file, the software substitutes a different font, and your carefully set headline reflows into something you never approved, sometimes with different spacing, weight or even language coverage. On a printed run, you may not notice until the boxes arrive.

There are two reliable ways to prevent this. The first, and usually the best, is to embed the fonts in your PDF. A proper PDF/X export does this for you, carrying the actual character shapes inside the file so the type renders identically no matter where it is opened. Most commercial fonts permit embedding for print, though a few licences restrict it, which is worth checking.

The second method is to outline the fonts, also called converting text to curves or creating outlines. This turns each letter into a fixed vector shape, so it is no longer text at all and can never substitute. Outlining is bulletproof for logos and short display text, and it is a good insurance policy when you are unsure about font licences. The downside is that outlined text can no longer be edited or spell-checked, and very small text can occasionally look slightly heavier once outlined, so it is best reserved for headlines, logos and set pieces rather than long passages of body copy. For most jobs, a well-made embedded PDF is enough; outlining is the belt-and-braces option when certainty matters most.

A pre-flight checklist to avoid rejection

“Pre-flight” is the print industry’s term for the final technical inspection of a file before it goes to press, borrowed from the checklist a pilot runs before take-off. Professional printers pre-flight everything, and you can run your own quick version before you hand over any artwork. Working through this list catches the overwhelming majority of problems that cause rejection:

  • Bleed: Is there 3mm (or the requested amount) of bleed on all four sides, with backgrounds and images extended into it?
  • Safe margin: Is all essential text and imagery kept at least 3mm inside the trim line?
  • Colour mode: Is the document in CMYK, with any intended spot colours defined as proper Pantone swatches rather than stray RGB values?
  • Resolution: Are all placed images 300 DPI at their final size, and are logos supplied as vectors where possible?
  • Colour profile: Is the correct ICC profile assigned and embedded for the printer and paper you are using?
  • Fonts: Are all fonts embedded or outlined so nothing can substitute?
  • Black: Are large solid areas set as rich black, and small text as plain 100% K?
  • File format: Is the final file a PDF/X in the version your printer requested, with trim and bleed marks included?
  • Size and pages: Is the document the correct finished dimensions, with the right number of pages in the right order for multi-page jobs?
  • Overprint and knockout: Have you checked that white objects are not accidentally set to overprint, which can make them vanish on press?

Always use high-resolution, properly licensed photography or vector graphics for anything destined for print.
